Who we are

This policy explains how Hokianga Museum / Hokianga Historical Society (HSS) (“we”, “our”, “us”) handles personal information collected through our website and membership form.

What we collect

  • Membership form: name, contact details, membership type/status and any information you choose to provide.

  • Website analytics: pages visited, time on page, device/browser and similar usage data collected via Google Analytics (cookies or similar technologies). We do not collect banking or card details on this website.

Why we collect it (purpose)

  • To process and manage memberships, communicate with members, and run our museum activities.

  • To understand how people use our website so we can improve it.
    We collect only what we need for these purposes and use it only in ways that are connected to them (see NZ Privacy Act 2020 principles on purpose, use and disclosure).

How we use and share information

  • Membership information is used for membership administration and related communications.

  • Analytics data is used in aggregate to improve the site.

  • We may share personal information with service providers who help us operate the site and our email/membership systems (for example, Google/Blogger/Google Workspace). We require them to protect your information and only use it for our purposes.

  • We do not sell your personal information.

  • We only disclose personal information when allowed under Privacy Principle 11 (e.g., for the purpose it was collected, with your permission, or where required by law).

Analytics and cookies

We use Google Analytics to understand website use. Google’s terms require us to tell you that Google may process data as described here: “How Google uses information from sites or apps that use our services.”
You can control cookies in your browser settings. (Note: GA4 provides privacy controls and does not rely on IP storage to report to us.)

Where information is stored

Some providers (e.g., Google) may process or store information outside New Zealand. We will only disclose personal information overseas in line with Privacy Principle 12 (comparable safeguards or appropriate protections, such as model clauses).

How long we keep information

We keep personal information only for as long as it is needed for the purposes above, then securely delete or de-identify it, consistent with Privacy Principle 9.

Your rights

You can ask to access the personal information we hold about you and to correct it if it’s wrong or incomplete (Privacy Principles 6 and 7). To do this, contact us using the details below. If you’re unhappy with our response, you can complain to the NZ Office of the Privacy Commissioner.

Security

We take reasonable steps to protect personal information from loss, misuse or unauthorised access, consistent with the Privacy Act.

No banking information collected

We do not collect banking or card information on this website. If you pay membership fees through another channel (e.g., bank transfer or a third-party payment service), those details are handled outside this website.
